WhatsApp Terms
These terms cover WaClock on WhatsApp, the messaging program that lets hourly workers clock in and out by messaging WaClock's business number, (855) 591-5011, on WhatsApp, and that sends employers the WhatsApp alerts they turn on.
What the program does
You send a word such as IN or OUT (or ENTRADA or SALIDA) to (855) 591-5011 on WhatsApp. WaClock records the time on your employer's timesheet and answers with a card that shows your name, the time and the date, for example "Clocked in, Ana, 7:02 AM, Friday, October 9".
- Fix buttons: if you sent the wrong word, tap It was OUT (or It was IN) or Cancel on the card within 30 minutes, then confirm. After that, your manager can fix it.
- My hours: tap it to see your hours today and this week.
- A time you report: if you forgot to clock in or out, you can send the time, such as "OUT 5:30 PM". It is recorded as reported by you, and your manager can see that.
How you start
You start the chat yourself, by sending IN to (855) 591-5011 on WhatsApp or by tapping the "Send IN on WhatsApp" button on waclock.com/join. Your employer adds your mobile number to WaClock so your punches land on the right timesheet, but adding your number does not send you anything.
If your employer uses a company code and has not added you, you can instead send JOIN (or UNIRME for Spanish) and the code from the WaClock poster. Your employer then approves or declines the request; only an approved request adds you to the crew.
What we send and how often
- Replies: one answer to each message you send or button you tap. For most people that is two to four messages on a workday. If you ask to join a company with its code, you may get one more message, when the company approves or declines, and only within 24 hours of your request.
- A missed clock-out reminder: at most one per shift, only for a shift you started on WhatsApp, and only if your employer leaves the reminder on. You can clock out from it, say you are still working, or reply with the time you left.
- Nothing else. WaClock does not send marketing or promotional messages, and it never messages a worker who has not written to it first.
Alerts for employers
An employer can choose WhatsApp numbers, such as the owner's and the managers', to receive alerts: a message when a worker clocks in or out or fixes a punch, and a daily summary at the hour the employer picks. Only the numbers the employer lists receive them, and the employer must list only people who agreed to get them. A listed number gets nothing until you agree from that phone by sending ALERTS and the code your employer shares with you; reply ALERTS OFF or STOP any time to stop. Once an owner or manager connects their own number by sending START and a code, that number is on the list too. To stop them, ask the account owner to remove your number, or block the chat.
For business owners and managers
Where WaClock offers it, owners and managers can sign up, connect their number by sending START and a code, sign in by sending LOGIN, add their crew by sending ADD, and approve join requests in this chat. WaClock answers what they send, and may send setup reminders only inside a conversation they started in the last 24 hours. Connecting your number adds it to your company's alert list; you can remove it in Settings.
Cost
WaClock does not charge workers for messages. WhatsApp uses your internet connection, so your mobile carrier's data rates may apply, depending on your plan.
How to stop
Block the WaClock number in WhatsApp at any time, and WaClock can no longer message you.
Or send STOP (or PARAR in Spanish) in the chat to turn off reminders, and START (or ALTA) to turn them back on. WaClock keeps answering the messages you send.
Because WaClock only answers what you send, you can also simply stop writing to it: the only message you might still get is one reminder for a shift you started on WhatsApp. You can keep clocking in with the personal clock link your employer gives you.
No text messages
WaClock does not run a text message (SMS) program. The number takes clock-ins on WhatsApp only.
Help
Send HELP (or AYUDA for Spanish) in the WhatsApp chat for a short how-to, ask your manager, or email support@waclock.com.
WhatsApp and Meta
WhatsApp is a service of Meta. Messages between you and WaClock travel through the WhatsApp Business Platform, which Meta runs for WaClock as a service provider, and WhatsApp's own terms and privacy policy apply to your use of WhatsApp. WaClock's business number is provided by Twilio, but your messages do not pass through Twilio.
Delivery
WhatsApp delivery depends on Meta and on your phone's internet connection, which we do not control. If a punch gets no reply card, tell your manager so the time can be corrected.
Privacy
We use your mobile number and your messages only to run clock-in on WhatsApp and the alerts your employer turns on. We do not sell them, and we do not share mobile numbers, messages or opt-in information with third parties or affiliates for their marketing or promotional purposes. See the Privacy Policy for the full details.
